What requirements you'll need to be eligible

Requirements:
* Minimum Diploma & above level with related working experiences in sales coordination or administrative role from shipping / freight forwarding background
* Shipping knowledge of import export documentations
* Possess positive working attitude and willingness to learn
* Possess good communication skills (both written and oral) and interpersonal skills as required to handle customers enquiries.
* Ability to start work with short notice preferred
* Good English speaking is required

What you'll be doing on the job

Key Responsibilities:

1. Administrative Support:

  • Coordinate overseas colleague visits, including hotel bookings, transportation, and other logistical arrangements.
  • Manage office refreshments and general office upkeep.
  • Maintain office phone lines and internet connectivity.
  • Handle day-to-day office administrative tasks to ensure smooth operations.

2. Customer Service & Order Processing:

  • Serve as the first point of contact for customer inquiries, acting as a liaison between customers, engineers, and sales personnel.
  • Process customer orders in the system after the sales team secures them, including handling Purchase Orders (PO), work orders, and shipments.
  • Manage the coordination and processing of orders to factories located in China, Italy, or Germany depending on the order.
  • Address customer issues with machines and provide timely resolutions.
  • Handle the order processing flow from sales to the factory and back to customers.

3. Shipping & Logistics:

  • Collaborate with forwarders for both incoming and outgoing shipments, including spare parts and machinery.
  • Monitor delivery and shipment schedules to ensure on-time delivery.

4. Financial Coordination:

  • Act as the primary liaison between the Indonesian office and the Singapore office for payment-related matters.
  • Ensure accurate documentation for payment processing and support finance-related administrative tasks.

5. Software & Tools:

  • Use Salesforce.com for tracking orders and managing customer data.
  • Support administrative functions via relevant software tools and systems.
