What you'll be doing on the job
Responsible for providing high-level support to the CEO and other members of the executive team.
Responsibilities include
- Managing the CEO's schedule: Ensuring the CEO's calendar is up to date, and managing their appointments and meetings
- Executing Follow Up Actions: Attend all meetings with CEO, understand what was discussed at meetings, and to record the agreed next steps from these meetings. Make sure that you are clear on who is the Person-in-Charge (PIC) of follow up actions, and then ensure that the PICs are performing the follow-up actions.
- Reporting Follow Up Actions: Keep good written records of follow up actions, and report on status of Follow-up Actions to CEO and supporting Management team members (as instructed by CEO).
- Planning events: Organizing internal and external events, including team meetings, etc
- Providing administrative support: Completing expense reports, preparing correspondence, and maintaining filing systems. Will work closely with Singapore-based accounting team
- Acting as a liaison: Bridging communication between the CEO's office and internal departments. Collaborate with other departments, such as finance and operations
- Anticipating needs: Being aware of issues and anticipating the CEO's needs before meetings and conferences
- Completing projects: Assigning work to staff on behalf of the CEO
- Office Maintenance: Direct appropriate person to ensure that office is presentable with adequate supplies.
