Who you'll be working for
Joining a dynamic team in the Representative Office of a Global Premium Brand in a B2B industry with its Asia Pacific headquartered in Singapore. The Office Admin will be responsible for supporting the Regional Team for all business-related matters including preparing and translating all business-related documents. The Office Admin will also provide support to the Regional Manager on running all daily administrative matters including running the office and to act as the liaising point for functional department in the Asia Pacific office in Singapore.
What requirements you'll need to be eligible
- SKILLS AND KNOWLEDGE
- Degree graduates in Business Administration/English/Marketing/Law/Engineering are welcome.
- Excellence in English written and spoken
- Must be proficient in Microsoft PowerPoint, Excel, Words, Outlook.
- Understanding of SAP system will be an advantage.
- Minimum 2-3 years working experience in managing office operations.
What you'll be doing on the job
- Ensuring all office supplies are well equipped.
- Attend all incoming phone call and notate and disseminate the enquiry to sales.
- Notify all related stakeholders on office closure.
- Managing and maintaining all office and business-related documents.
- Responsible for all business documentation and keys.
- Providing support to HQ Finance Team and be the liaise between SO Seoul and AP HQ.
- Preparing all payment and expenses claim documentations and liaise with AP HQ Finance on all documents.
- Coordinate with third-party accounting firm for monthly VAT matters and annual audit.
- Support AP HQ Finance on all banking and accounting matters
- Providing support to HQ Market Team and be the liaise between SO Seoul and AP HQ.
- Manage all marketing related matters including coordinating all marketing events.
- Responsible for all marcom matters including managing the general email account and local landing page.
- Manage all incoming sales leads.
- Support AP HQ and Germany HQ Marketing on all translation need.
- Supporting SO Seoul Sales Team in all business-related documentation and reporting.
- Upkeeping of the showroom.
- Preparations of Sales and Project documentation.
- Supporting AP HQ management team on official documents preparation including translation on documents.
- Consolidate sales report received from Sales Team and prepare for weekly sales report.
- Manage and organise sales CRM system.
- Managing and coordinate all logistic and shipment between SO Seoul, AP HQ and Germany HQ.
- Responsible for all samples and materials in the store.
- Responsible for ordering and delivering samples, documents and greeting cards.
